Data Protection Notice for the SOLVIT training on Professional Qualifications

Brussels, 4 & 5 December 2019

Your personal data is processed in accordance with Regulation (EU) No 2018/1725(1) on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data.

The data controller of the processing operations for the needs of this event is Head of Unit A.1 COSME of the Executive Agency for Small and Medium-sized Enterprises (EASME) .

The processor of data on behalf of EASME is ICF Next (secretariat@eser-event.eu). ICF Next will share your information with the travel agency who will be contacting you for your travel arrangement is IP Travel (info@iptravel.be).

The legal basis for the lawfulness of processing operations is Article 5(a) of Regulation (EU) 2018/1725 whereby processing of your personal data is necessary for the performance of a task carried out in the public interest on the basis of the Treaties or other legal instruments adopted on the basis thereof;

The purposes of this processing operation are to:
- provide you with access to the training venue;
- include you in the participants list which will be made available to the organisers, the other participants, and the contractor (the below mentioned ICF Next);
- contact you when necessary for the organisation of the event,
- facilitate the follow-up activities of the event, including collection of your travel and accommodation documents for the reimbursement of the related expenses, collection of your feedback, sharing of information related to the event

The following personal data are collected for the purposes outlined above:

- First name,
- Last name,
- E-mail address, 
- Mobile phone number.

Specifically for the reimbursement of your travel and accommodation expenses:
- Date of birth, 
- ID number or passport,
- Nationality,
- Postal address,
- Bank account details.

Please note that the above requested data are necessary (except where indicated otherwise in the registration form) for ensuring your participation and for processing the reimbursement of your travel and accommodation expenses.

The recipients of your data will be relevant DG GROW and EASME staff in charge of the event, local event organisers, the contractor in charge of the logistics management and travel and accommodation arrangements (the above mentioned ICF Next and IP Travel), security personnel. The participants list will be collected thanks to Swoogo event management tool upon your registration, and distributed by ICF Next to IP Travel by email sharing the following necessary personal informations: full Name, email address, ID/Passport Number. 

Your personal data will be kept for a maximum period of 12 months after the end of the event. Data will be automatically deleted at the end of the period indicated above.

Mobile phone numbers may be used in case event organisers need to contact you to communicate eventual changes in the logistics, or for the event follow-up. 

You have the right to access your personal data and to request your personal data to be rectified, is the data is inaccurate or incomplete; where applicable, you have the right to request restriction or to object to processing, to request a copy or erasure of your personal data held by the data controller. If processing is based on your consent, you have the right to withdraw your consent at any time, without affecting the lawfulness of the processing based on your consent before its withdrawal.

Your request to exercise one of the above rights will be dealt with without undue delay and within
one month.
